Terms & Conditions of Service

These Terms and Conditions govern access to and use of the NG SIMS school management platform, dedicated school subdomains, administrative dashboards, teacher scoring tools, bursary ledgers, and parent/student portals by subscribing educational institutions in Nigeria.

Per-Term Subscriptions

Transparent flat pricing per academic term based on active student population.

Complete Data Rights

Your school retains complete ownership and export rights to all student and financial data.

Dedicated Subdomain

Each school operates on its private branded portal with role-based access control.

1. Agreement and Parties

By registering an account, submitting an onboarding setup request, or accessing the NG SIMS platform, the subscribing educational institution ("the School", represented by its Proprietor, Board, Principal, or authorized Administrator) enters into a legally binding contract with NG SIMS. Individual users (teachers, staff, bursars, parents, and students) agree to these terms through their role-based portal access.

2. Provision of Service & School Subdomain

NG SIMS grants the subscribing school a non-exclusive, non-transferable license to access and use the platform for the duration of its active termly subscription. This includes:

  • A dedicated school subdomain (e.g. yourschool.ngsims.com.ng) customized with the school’s name, logo, badge, and motto.
  • Role-based accounts for School Administrators, Form Teachers, Subject Teachers, Bursars/Accountants, and Parents/Guardians.
  • Automated 1-CA or 2-CA Continuous Assessment calculations, master broadsheets, student nominal rolls, and branded report card PDF generation.

3. Subscription Plans, Billing & Payment Terms

Subscriptions are billed on a flat, transparent per-term basis according to active student enrolment tiers:

Starter Tier

₦45,000 / academic term

For schools with up to 150 active students.

Growth Tier (Recommended)

₦75,000 / academic term

For schools with 151 to 500 active students.

Scale Tier

₦130,000 / academic term

For schools with 501 to 1,000 active students.

Enterprise Tier

Custom Institutional Pricing

For 1,000+ students or multi-campus networks.

  • Billing Cadence: Termly invoices are issued ahead of each academic term (First Term, Second Term, Third Term).
  • Currency: All fees are stated and payable in Nigerian Naira (₦).
  • Payment Methods: Direct bank transfer to designated company accounts or online payment via CBN-licensed payment partners.
  • Enrolment Adjustments: If a school’s active student count moves into a higher tier during the academic session, the appropriate tier rate applies from the subsequent term invoice.

4. School Ownership of Data & Intellectual Property

We maintain absolute clarity regarding data and software ownership:

  • School Data: The School retains 100% complete and exclusive ownership of all uploaded student profiles, biodata, photos, CA marks, exam scores, teacher remarks, fee structures, and financial records. NG SIMS claims zero ownership over your institutional content.
  • Data Export Guarantee: The school administrator may export nominal rolls, broadsheets, and bursary transaction ledgers to Excel/CSV at any time without punitive administrative fees.
  • NG SIMS Intellectual Property: The platform source code, system architectures, calculation algorithms, report card templates, design assets, and trademarks remain the sole intellectual property of NG SIMS.

5. Academic Result Accuracy & Publishing Responsibility

NG SIMS provides automated mathematical computation (totals, averages, positions, grade conversions) according to the grading scale configured by the school. However:

  • Subject teachers and form teachers are responsible for verifying that entered raw scores and assessment marks are accurate.
  • The Principal or Vice-Principal (Academics) holds final review and digital approval authority before termly results and report cards are formally published to the Parent Portal.

6. Bursary & Fee Recording Acknowledgments

NG SIMS provides bursary tracking, invoice generation, bank transfer recording, part-payment tracking, and receipt verification tools. While the platform records fee transactions, the school’s bursary office remains responsible for reconciling physical bank deposits and verifying bank teller slips before marking invoices as paid.

7. System Availability, Backups & Maintenance

We design our cloud architecture for continuous reliability across Nigerian school terms:

  • Daily automated cloud database backups protect against hardware failure and unforeseen disasters.
  • Planned system updates, security patches, and routine maintenance are scheduled during off-peak hours (late nights or weekends) with advance notice to school administrators, avoiding critical end-of-term result compilation weeks.

8. Account Security & Master Credentials

The school administrator is responsible for maintaining the confidentiality of master administrator credentials, provisioning teacher accounts accurately, and promptly revoking portal access for departed staff members. NG SIMS support will never ask school proprietors or bursars for their passwords over phone or chat.

9. Subscription Cancellation & Data Portability

A school may choose not to renew its subscription for any subsequent academic term by notifying NG SIMS prior to the start of that term. Following cancellation, the school administrator is provided a grace period to export all historical broadsheets and student rosters before portal de-provisioning.

10. Governing Law & Dispute Resolution

These Terms of Service are governed by and construed in accordance with the laws of the Federal Republic of Nigeria. In the event of any operational disagreement or contractual dispute, the parties shall first attempt to resolve the matter amicably through good-faith executive discussion within thirty (30) days prior to pursuing formal legal arbitration.
